How to cancel an eBay order as a seller (and when it costs you a defect)
Sometimes you have to cancel a sale. On eBay, why you cancel matters as much as how: some reasons are free, and one — out of stock — counts against your seller level.
When you can cancel
You can cancel an order if:
- the buyer asks to cancel and you haven’t shipped yet;
- the buyer hasn’t paid in time;
- the buyer used the wrong shipping address;
- the item is out of stock — this results in a transaction defect and affects your performance and seller level.
You can’t cancel if the buyer has reported the item hasn’t arrived, or has opened a return request.
If the buyer bought several items in one order, the whole order is cancelled — you can’t cancel single items.
How to cancel
- In Seller Hub, go to Orders (or My eBay → Sold).
- Find the order.
- From More actions, select Cancel order.
- Choose a reason and select Submit.
You can cancel up to 30 days after the sale, even if the buyer has paid. Once cancelled, it can’t be undone.
The reason “Issue with buyer’s address” isn’t available for items sold through Authenticity Guarantee or eBay International Shipping.
Unpaid items
The reason “Buyer hasn’t paid” becomes available after 4 full calendar days, and you can use it up to 30 days after the order. When you cancel for non-payment, any feedback the buyer left is removed and your seller standards aren’t affected.
Never pick a reason that isn’t true — for example, claiming the buyer didn’t pay. eBay treats that as abusing the cancellation process, which can lead to restrictions or suspension.
Before cancelling, a short reminder often gets the order paid:
When the buyer asks to cancel
Buyers can request a cancellation within 60 minutes of committing to buy. You then have 3 calendar days to accept or decline:
- Buyer hasn’t paid and you don’t respond → the order is cancelled automatically.
- Buyer has paid and you don’t respond → the request closes and you must ship.
eBay encourages sellers to accept if the item hasn’t shipped. If you decline, the buyer has to wait for the item and open a return instead.
Refunds and fee credits
- If the buyer paid through eBay checkout, eBay issues a full refund automatically to their original payment method.
- When you approve a buyer’s cancellation request, eBay refunds the entire final value fee, including the per-order fee. For other cancellations, you may be eligible for a fee credit under eBay’s fee credits policy.
- A single-quantity Buy It Now listing is relisted automatically unless you select No next to Relist item?
- If a refund fails, use Retry refund in the notification, or a different payment method. If the buyer doesn’t get it within 10 days, they can open an eBay Money Back Guarantee case.
Avoid out-of-stock cancellations
An out-of-stock cancellation is a transaction defect — see eBay Top Rated Seller requirements for how defects affect your level. Keep quantities accurate, and use Time Away when you can’t ship.
