How to remove or appeal an eBay transaction defect

Transaction defects decide your eBay seller level. Some get removed without you doing anything; others you can appeal; a few stay no matter what. Here’s which is which.

Removed automatically (within 72 hours)

eBay automatically removes the defect — and adjusts your late shipment rate and removes the feedback — when:

  • you cancelled because the buyer didn’t pay, using the “Buyer hasn’t paid” reason;
  • it was caused by an eBay site issue or program error;
  • the delivery estimate in the listing was shortened, but tracking shows delivery by the carrier’s longest estimate;
  • eBay acts against the buyer under the Abusive buyer policy;
  • eBay closes a Money Back Guarantee case or appeal in your favour;
  • eBay told you to hold a shipment or cancel;
  • valid tracking shows systemic delays — wide carrier delays, customs, extreme weather. Qualifying events are posted on eBay’s announcement board.

In these cases you don’t need to contact eBay.

Not removable

  • Feedback that breaks policy (profanity, links) may have its comment removed, but the rating and defects aren’t necessarily removed.
  • Late shipment appeals for orders without tracking.

Appeal through Seller Help (within 90 days)

For defects that aren’t removed automatically, appeal within 90 days of the transaction:

  1. Go to Seller Help and select Request assistance.
  2. Select Appeal a defect.
  3. Choose the item.
  4. Explain why, then select Send request.

A short, factual explanation works best — for example:

Order [number], sold on [date]. I’m asking for this [defect / late shipment] to be removed. The item was handed to [carrier] on [date], within my [1]-day handling time, with tracking [number]. Tracking shows [the acceptance scan on [date] / delivery to the buyer’s address on [date], before the estimated delivery date of [date]]. Screenshots are attached. Thank you for reviewing.

eBay reviews defects and feedback for removal when, for example:

  • the buyer opened the request by mistake;
  • tracking shows the acceptance scan within your handling time;
  • tracking shows delivery to the buyer’s address within the estimated delivery date — with signature confirmation for orders of $750 or more;
  • an eBay International Shipping item reached the processing center on time but was delayed internationally or never arrived;
  • eBay or eBay International Shipping cancelled the transaction;
  • you can prove a returned item went to the wrong address.

eBay counts an attempted delivery as delivered for late shipment and feedback purposes. If your carrier isn’t integrated with eBay, uploaded tracking that proves on-time shipping can still be reviewed manually.

The transaction defect report in Seller Hub lists your defects.

Prevent the next one

  • Upload tracking from an integrated carrier within your handling time — it’s the evidence behind most successful appeals.
  • Cancel unpaid orders with the “Buyer hasn’t paid” reason, never “out of stock” — see how to cancel an eBay order.
  • Resolve buyer problems before eBay steps in — see eBay item not received requests.
